Saunawelt Booking and Cancellation Policy

This Booking and Cancellation Policy governs all reservations made with Saunawelt. By making a reservation, you agree to the following terms. If you book for additional guests, you confirm that you are authorized to do so on their behalf, and that all guests included in the reservation are deemed to have accepted and agreed to Saunawelt’s Terms and Conditions and all applicable Policies.
1 Reservations
Reservations must be made online through our booking app and are subject to availability.
Walk-in reservations will be accommodated (if possible) by staff on-site and will also be processed through the booking app.
A valid payment method is required to book your reservation.
You must be at least 18 years of age to make a reservation. If a member of your group is a minor, please refer to the "Minors" section of Saunawelt's Terms and Conditions.
Saunawelt reserves the right to refuse or cancel any reservation that does not comply with this policy or Saunawelt's Terms and Conditions.
The purchase of any Service or Product from Saunawelt, (including Saunawelt Regulars’ Club Plans, Multipasses, and Vouchers) is subject to the terms and conditions outlined in our Terms documents, which are incorporated herein by reference. Specifically, please refer to the "Regulars’ Club Plan Policy," the "Voucher and Multipass Policy," and the "Private Rental Policy" for detailed information.
2 Payment
Payment in full is required at the time of booking your reservation.
Our facility is cashless.
Accepted payment methods are Visa, MasterCard, American Express, Google Pay, and Apple Pay.
Customers may purchase Saunawelt Merchandise and Vouchers via our Website, our booking application, and in-person during business hours with the help of our staff.
3 Discount Codes & Promotions
Discount codes and promotional offers are subject to availability and may be limited to specific sessions, services, dates, or times. Discounts must be applied at the time of booking and cannot be applied retroactively.
Unless expressly stated otherwise, discount codes cannot be combined with any other offer, voucher, Multipass, Regulars’ Club benefit, or discount. Saunawelt reserves the right to withdraw, amend, or refuse any promotional offer or discount code at any time, including in cases of suspected misuse.
4 Cancellation by Customer
(a) Sauna Sessions
· Cancellations must be made through our booking app and are subject to the following conditions:
o Cancellations made more than 24 hours before the scheduled start time will receive a 100% refund.
o Cancellations made less than 24 hours before the scheduled start time are non-refundable.
o Failure to arrive for a scheduled session constitutes a “No-show”, and the full cost of the service is retained. As this situation falls outside the 24-hour notice window, the guest is not entitled to any refund or credit.
· Any refunds due will be processed to the original payment method subject to the terms, policies, and conditions of our payment processor and your financial institution.
(b) Special Events
· Cancellations for special events must be made 7 days in advance of the scheduled event for a refund or credit. No refunds or credits will be made otherwise.
5 Cancellation by Saunawelt
Saunawelt reserves the right to cancel a reservation due to unforeseen circumstances, including but not limited to:
· Facility closures
· Maintenance issues
· Insufficient demand or staffing shortages
· Other events beyond our control
· In the event that Saunawelt cancels your reservation, you will be offered the option to:
o Reschedule your reservation to an alternative date and time, subject to availability, or
o Receive a full refund to the original payment method.
6 Rescheduling
Requests to reschedule a reservation are subject to availability and must be made at least 24 hours prior to the scheduled start time.
7 Late Arrival
Please arrive 15 minutes prior to your scheduled start time.
Late arrival may result in a shortened session or forfeiture of your reservation without refund, depending on facility availability.
8 Late Check-Out
Guests must check out promptly at the end of their scheduled session time. Session times are strictly enforced to protect the flow and availability of incoming reservations.
Remaining in the Facility beyond your scheduled session time will result in a late check-out fee charged to the payment method on file. Assessment of a late fee does not grant additional access time. Guests are required to exit the Facility immediately once their scheduled session time has ended.

Saunawelt reserves the right to enforce this policy at its sole discretion to the payment method on file.
9 Changes to Services
Saunawelt reserves the right to modify or discontinue any service or offering at any time without prior notice. In such cases, affected reservations will be handled in accordance with Paragraph 4 of this policy above.
10 Wait List
Saunawelt offers a waitlist for sessions that are fully booked. By signing up for the waitlist, you agree to the following conditions:
· You are responsible for monitoring your status on the wait list and responding promptly to any notifications. You are also responsible for removing yourself from the waitlist if you are unable to comply with these policies.
· If a spot becomes available and you are added to the session, the standard purchase and cancellation policies apply. However, if you are added to a session within 24 hours of the session start time, you will not be able to cancel or reschedule your purchase.
· If you are added to a session within 24 hours of its start time and fail to attend, you will be subject to the same penalties as a late cancellation. This may include forfeiture of the session, loss of a credit (if part of a subscription plan), or forfeiture of a voucher/multipass.
11 Private Rental
Private rentals are subject to a separate agreement. Please review our Private Rental Policy and contact Saunawelt directly for details.
12 Disputes, Chargebacks and Reversed Payments
If a payment is disputed, reversed, or charged back for any reason (including through your card issuer or financial institution), Saunawelt reserves the right to suspend future bookings and deny entry until the matter is resolved. You remain responsible for all amounts owed under your booking, including any fees incurred by Saunawelt as a result of a chargeback or reversed payment.
13 Governing Law
This Booking and Cancellation Policy shall be governed by and construed in accordance with the laws of the State of Texas.
14 Amendments
We reserve the right to amend this Policy at any time. Any revisions will be effective immediately upon posting the updated Policy to our website. For material changes to this Policy, we will provide notification in accordance with the "Updating of Terms" clause in our main Terms and Conditions. Your continued use of the service or product governed by this Policy constitutes your acceptance of the revised Policy. It is your responsibility to review this Policy periodically.

Saunawelt Voucher and Multipass Policy

This policy outlines the terms and conditions for Saunawelt Vouchers and Multipasses. By purchasing or using Saunawelt Vouchers or Multipasses, you agree to the following terms:
1 Vouchers
(a) Issuance: Vouchers are available for purchase at the Saunawelt location and online. Vouchers are available as monetary or experience vouchers. Monetary vouchers are dollar-value vouchers, redeemable across all Saunawelt services and in-store retail. Experience vouchers are vouchers for specific sauna experiences.
(b) Validity: The expiration date is indicated on the voucher. Monetary vouchers are valid for three (3) years from the date of purchase. Experience vouchers are valid for twelve (12) months from the date of purchase.
(c) Redemption:
(d) Transferability: Vouchers are transferable prior to redemption.
(e) Lost or Stolen Vouchers: Saunawelt is not responsible for lost or stolen vouchers.

2 Mulitpass
(a) Issuance: Multipasses are available for purchase at the Saunawelt location and online.
(b) Validity: Multipasses are valid for twelve (12) months from the date of purchase. The expiration date is indicated on the multipass.

(d) Transferability: Multipasses are non-transferable.
(e) Lost or Stolen Vouchers: Saunawelt is not responsible for lost or stolen multipasses.

3 General
Saunawelt reserves the right to amend this Policy at any time. Any revisions will be effective immediately upon posting the updated Policy to our website. For material changes to this Policy, we will provide notification in accordance with the Updating of Terms clause in our main Terms and Conditions. Your continued use of the service or product governed by this Policy constitutes your acceptance of the revised Policy. It is your responsibility to review this Policy periodically.
Saunawelt reserves the right to refuse service or void any gift voucher or multipass that it deems to have been tampered with or obtained fraudulently.
Saunawelt reserves the right to request presentation of identification at any time to validate the usage of a Voucher or Multipass.
4 Amendments
We reserve the right to amend this Policy at any time. Any revisions will be effective immediately upon posting the updated Policy to our website. For material changes to this Policy, we will provide notification in accordance with the "Updating of Terms" clause in our main Terms and Conditions. Saunawelt Regulars’ Club Policy

This policy outlines the terms and conditions for the Saunawelt Regulars’ Club subscription plan ("the Plan"). By purchasing or using the Plan, you agree to the following terms:
1 Eligibility
The Plan is available to individuals who are at least eighteen (18) years of age.
2 Plan Options and Benefits
The Plan includes subscription levels, each offering a different set of monthly session credits and benefits.
· Birch Level: Four (4) 2-Hour Sauna Session Credits per Month, valid for any 2-hour sauna session, including on Women Wednesday Sauna and Sunday Sauna Reset Sessions.
o Price: $199
o Duration: Monthly
o Additional benefits:
§ 10% off Food & Beverage
§ 10% In-store Retail, excluding Salt & Honey Peel
· Juniper Level: Eight (8) 2-Hour Sauna Session Credits per Month, valid for any 2-hour sauna session, including on Women Wednesday Sauna and Sunday Sauna Reset Sessions.

3 Billing and Cancellation
The Plan is a subscription-based program. Your initial subscription fee will be billed in full at the time of purchase, and subsequent billing occurs automatically on the first of each month thereafter, until canceled.
By subscribing, you authorize us to charge your payment method on file at the start of each billing period.
Subscription payments are nonrefundable, and there are no credits for partially used periods.
To cancel your Plan, you must provide thirty (30) days' written notice via email to hello@saunawelt.com.
4 Plan Duration and Renewal
The Plan duration is monthly, commencing on the date of purchase.
The Plan will automatically renew on the first day of the month unless canceled in writing by the customer at least thirty (30) days prior to the renewal date.
Saunawelt reserves the right to change the renewal policy.
Booking
All sessions booked using RCP credits require a reservation through the Saunawelt booking app. Entry without a confirmed appointment is not guaranteed and is subject to availability.
Bookings made under the Plan are subject to our Booking and Cancellation Policy. Late cancellations and no-shows will result in the deduction or forfeiture of a credit.
5 Plan Usage and Restrictions
Each Plan level includes a designated number of credits (or unlimited weekday access in the case of Spruce level) valid for any standard 2-Hr Saunawelt Session. Credits cannot be used for Special Events or 1-Hr Express Sessions.
Credits are exclusive to the subscriber and are non-transferable. Proof of identity may be requested.
Unused credits expire at the end of each monthly period and do not roll over.
Saunawelt reserves the right to limit total Plan enrolment.
Subscribers found sharing Plan access will have their Plan cancelled without refund.
6 Pause
A pause to the Plan is permitted in four-week increments that coincide with your billing cycle. A maximum of eight (8) weeks may be paused within any twelve (12)-month period.
To request a pause, email hello@saunawelt.com with at least fourteen (14) days' notice.
7 Changes to the Plan
Saunawelt may modify or terminate the Plan, including pricing, at any time. If the Plan is discontinued, subscribers will receive thirty (30) days’ notice and will be allowed to complete one additional billing cycle.
If the terms or pricing of the Plan change, subscribers will be notified and may choose to continue under the new terms or cancel.
8 Changing Plan Level
Subscribers may change their Plan level at any time. To request a change, you must provide at least fourteen (14) days’ written notice via email to hello@saunawelt.com before your next billing date. Any change will take effect on your next billing cycle.
9 Liability
Saunawelt's liability for any claims arising from or related to the Plan is limited to the amount paid by the subscriber for the Plan. Saunawelt is not responsible for any indirect, incidental, or consequential damages.
10 Governing Law
This Policy shall be governed by and construed in accordance with the laws of the State of Texas.
11 Amendments
We reserve the right to amend this Policy at any time. Any revisions will be effective immediately upon posting the updated Policy to our website.
